San Diego · Serving all of California

Events that are beautifully planned and precisely run.

Aaron Shape Events LLC plans and manages weddings, corporate programs, and private celebrations throughout California — from the first budget conversation to the last crate off the loading dock.

What we do

Two ways to work with us

Some clients want us from the first idea. Others have the vendors booked and need a professional to run the day. Both are real services, priced and scoped separately.

01

Event Planning

Concept, design, budget architecture, venue scouting, vendor sourcing, and contract tracking — built with you over months, not days.

02

Event Management

Production schedules, vendor confirmations, rehearsals, and on-site leadership so the plan you paid for actually happens.

How it works

A process you can follow from the outside

You always know what stage we're in, what's been decided, and what's waiting on you.

01

Discovery

We start with a conversation about the outcome you want, the people in the room, and the number you are working with. No templates, no pitch deck.

02

Concept & Budget

You receive a design direction, a realistic budget framework, and a scope of work that says plainly what we handle and what stays with you.

03

Sourcing

We shortlist venues and vendors, negotiate terms, and track every contract, deposit, and due date in one place you can see.

04

Production

Floor plans, run-of-show, call sheets, and rehearsals. Every vendor gets the same schedule so nobody improvises on event day.

05

Execution

Our team is on site from first load-in to final load-out, holding the schedule and solving problems before they reach you.

06

Wrap

Vendor reconciliation, rental returns, final invoicing, and a debrief with notes you can use for the next event.

Why clients stay

Organized enough to be creative

Creativity survives contact with reality only when the logistics are handled. That is the part we are unreasonable about.

  • One planner accountable to you — not a rotating account team
  • Budgets tracked line by line, with every vendor payment date visible
  • Vendor coordination handled in writing, so nothing lives in someone's memory
  • Run-of-show distributed to every vendor before load-in day
  • Contingency plans for weather, delays, and late deliveries
  • Post-event reconciliation, returns, and a written debrief

Questions

The things clients ask first

If your question isn't here, ask us directly — we answer plainly.

What areas do you serve?
We are based in downtown San Diego and produce events throughout California. Programs outside San Diego County may include travel and lodging costs, which are itemized in your proposal before you sign anything.
How far in advance should I book?
Weddings and large productions are typically booked 9 to 14 months out. Corporate programs usually come to us 3 to 6 months out. If your date is sooner, ask anyway — availability changes, and we will tell you honestly whether we can produce the event well in the time available.
What is the difference between planning and management?
Planning covers design, budget, and vendor sourcing from the earliest idea onward. Management picks up an event that is already built and takes responsibility for logistics, schedule, and execution. Many clients begin with planning and continue into management for event week.
Do you work with venues and vendors we have already chosen?
Yes. We regularly step into events with contracts already in place. We review each agreement for scope, timing, and load-in requirements, then build the production schedule around what you have signed.

Tell us the date, the guest count, and what you want people to feel. We'll tell you honestly what it takes to get there.
